How to Make a Booklet From a PDF

How to Make a Booklet From a PDF

Open your PDF in Adobe Acrobat or the free Acrobat Reader, go to File, then Print, and choose Booklet under Page Sizing & Handling. Pick Both sides if your printer is double-sided, set the binding to Left, and print. Fold the stack in half and you have a booklet with the pages in the right order.

A PDF is the most common file people have when they need a booklet. It might be a menu, a school handbook, a church service sheet or a company guide. The trouble is that a PDF is made of single pages in normal order, and a folded booklet needs those pages shuffled before printing.

The good news is that you do not need to rebuild the file. You only need the right print setting.

What you need

  • Your PDF, with the page count already a multiple of 4
  • Adobe Acrobat Reader (it is free) or Acrobat Pro
  • A printer, ideally one that prints on both sides automatically
  • Paper that is twice the size of your finished page. A4 paper gives you an A5 booklet.

Check your page count first. If your PDF has 14 pages, the booklet will need 16, and two pages will be blank. It is smarter to add those pages yourself than to let the printer decide. Our guide to booklet page counts explains the options.

Step-by-step: print a PDF as a booklet in Acrobat

Step 1: Open the print box

Open the PDF and press Ctrl + P on Windows or Cmd + P on a Mac. This opens the Print window.

Step 2: Pick your printer and paper size

Choose the printer, then set the paper size to the full sheet. For an A5 booklet, choose A4. The PDF pages are A5, and Acrobat will place two of them on every A4 sheet.

Step 3: Choose Booklet

Under Page Sizing & Handling, click the Booklet button. The preview on the right will change to show two pages per sheet, in the odd-looking printer order. That is exactly what you want.

Step 4: Set the Booklet subset

The Booklet subset drop-down has three options:

Option What it does When to use it
Both sides Prints the fronts and backs of every sheet Your printer prints on both sides automatically
Front side only Prints only the front of each sheet Manual double-sided printing, first pass
Back side only Prints only the back of each sheet Manual double-sided printing, second pass

If you want to understand these in more depth, see our guide on what booklet subset means.

Step 5: Set the binding

Choose Left for English and most European languages. Choose Right for languages that read right to left, such as Arabic or Hebrew. The “tall” options are for booklets that open along the top, like a calendar or a notepad.

Step 6: Check the orientation and scaling

Make sure the orientation matches your paper. The preview should show two pages side by side on a landscape sheet. Leave scaling on the default settings. Do not choose “Fit to page” as well as Booklet, because it can shrink your pages and throw off the margins.

Step 7: Print one test copy

Print a single copy first. Fold it, flip through the pages and check the order, the orientation and the margins.

If your printer does not print double-sided

You can still make a booklet by hand. Here is the usual method:

  1. Set Booklet subset to Front side only and print.
  2. Take the printed stack and put it back into the paper tray. Which way it goes depends on your printer. Do a test with a single sheet marked with a pencil dot to learn the right direction.
  3. Set Booklet subset to Back side only and print.
  4. Fold the stack in half and staple along the fold.

If the backs come out upside down, you loaded the paper the wrong way round. Read why your booklet prints upside down for a quick fix.

What about Mac Preview and web browsers?

This is where many people get stuck. The Preview app on a Mac can print two pages per sheet, but it does not reorder them for a booklet. Chrome, Edge and Safari have no booklet option at all. If you try them, you will get pages 1 and 2 next to each other, which is not what a folded booklet needs.

The simplest answer is to install the free Adobe Acrobat Reader and use its Booklet option. If you prefer another tool, make sure it offers real booklet imposition, not just “2 pages per sheet”.

Checking your PDF before you print

A few quick checks will save you paper and ink:

  • Page size: All pages should be the same size. One odd page can break the layout.
  • Margins: Keep text at least 10mm from the edge for office printers, and a little extra near the spine.
  • Fonts: Make sure fonts are embedded when you export the PDF, so nothing changes on another computer.
  • Image quality: Images should be around 300 ppi at the size they are used.
  • Page order: Page 1 is the front cover and the last page is the back cover.

Our guide on how to arrange pages for booklet printing goes into the page-order logic if you want to understand what Acrobat is doing behind the scenes.

Sending a PDF to a professional printer

Here is the key point: if a print shop is printing your booklet, send the PDF in normal page order. Do not use the Booklet setting to create a new file. Most printers impose pages on their own machines, and a pre-shuffled file can cause mistakes.

When you export or save your PDF for a printer, check these points:

  • Pages are in reading order, from front cover to back cover
  • The page count divides by 4
  • Bleed of 3mm is included where colours or images reach the edge
  • The page size matches the finished booklet size
  • Fonts are embedded, and colours are in CMYK if possible

If you are not sure, you can send the file to us and we will check it for free before printing. Have a look at our booklet printing page for options.

Frequently asked questions

How do I arrange PDF pages for booklet printing?

In Acrobat, use File, Print, then choose Booklet. Acrobat arranges the pages in the correct order for folding.

How do I make a booklet in PDF format?

If you need an actual imposed PDF file, print to PDF from the Booklet option, or use an imposition tool. Be careful, because a pre-imposed file is not what most professional printers want.

Why is my PDF booklet printing in the wrong order?

The two usual causes are using a printer driver booklet setting on top of Acrobat’s, or a page count that is not a multiple of 4. See our troubleshooting guide.

How do I set up booklet printing in PDF for double-sided paper?

Choose Booklet, set the subset to Both sides, and set the printer to flip on the short edge if it asks.
